Whitewater Group is headquartered in Bray, Co. Wicklow and operates from European bases in Spain, Sweden, Finland, Italy and UK, with plans for further offices to open in Germany, Denmark and France. The Group is experiencing significant growth due to its focus on off-site construction methods (OSM) of delivering turnkey projects, meaning on-site construction time is kept to a minimum.

Role Description
Due to continued expansion, we now seek to strengthen our local Finnish Team and are looking for an experienced Office/Administration Lead to join our growing team. You will play a key role in the efficient operation of the office set up in Helsinki, linking in with our head office finance team and any other duties that may arise. You will be a proactive problem solver, handling a range of administrative responsibilities and supporting senior management in day-to-day operations. The hiring process will be conducted in collaboration with Staffpoint Professionals. Initially, you will be employed by Staffpoint (permanent contract). The is position based in Helsinki-Espoo area (specific location TBD) with some travel requirements.
Key Responsibilities
- Oversee day-to-day office operations to ensure smooth functioning.
- Maintain office systems and procedures for optimum efficiency.
- Act as the main point of contact for internal and external inquiries, providing exceptional customer service.
- Oversee and manage day-to-day basic financial functions (raise purchase orders/ approve purchase invoices etc) and support head office with local queries.
- Provide comprehensive executive support to senior management, including travel arrangements, and meeting coordination.
- Act as a liaison between the Irish, Spanish, Swedish and Finnish offices ensuring seamless communication within the organisation.
- Coordinate company events, meetings, and conferences, ensuring logistics are in place.
- Handle incoming and outgoing correspondence, including email, phone calls, and post.
- Manage office filing systems, ensuring that documents are filed appropriately and easily retrievable.
- Provide administrative support to other departments as needed, ensuring projects and tasks are completed efficiently.
Qualifications & Experience:
- A relevant qualification in office administration, finance, or a related field.
- Knowledge of basic accounting principles and financial processes.
- Proven experience in office management and accounts administration.
- Strong proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook).
- Excellent organisational and time management skills, with the ability to prioritize tasks effectively.
- Strong communication skills (both written and verbal) and a professional telephone manner.
- Fluency in both English and Finnish.
- Ability to manage multiple tasks in a fast-paced environment and meet deadlines.
- Detail-oriented with a high degree of accuracy in handling administrative and financial tasks.
- Discretion and ability to handle confidential information appropriately.
- Ability to work independently, showing initiative and problem-solving abilities.
